Operations Lead

POSITION OVERVIEW

Reporting directly to the Executive Director, the Operations Lead is responsible for the overall operations and performance of the Academy. This position will be responsible for anchoring the team with robust management of infrastructure, accounts payable processing, and administrative support. This includes maintaining relevant records, the communication company-wide initiatives, and communicating the status of the Academy to the Executive Director and staff. In this role, the Operations Lead should have excellent written and verbal communication, strategy, and understanding of the Academy’s mission and vision. The Operations Lead shall be the primary contact for all team members within the Academy with regards to internal operations and responsible for items as they pertain to HR. Additionally, the operations lead will be responsible for the key performance of the marketing team and volunteer efforts.

Additionally, they will act as the liaison for general public inquiries, coordinating connections to the appropriate Academy staff member, and are responsible for internal operations, systems and protocols.

Compensation: $40,000-$45,000/Annually

Commitment: 40 Hrs/Week

DUTIES & RESPONSIBILITIES

  • Manage administrative tasks as needed/assigned, includes organizing documents and files, word processing, mail distribution, data collection and entry, and maintaining office inventories

  • Oversees and coordinates internal team meetings

  • Oversee the development and implementation of team building activities, staff training, and professional development opportunities

  • Supervise non-education Square Root Academy interns and Federal Work Study scholars

  • Provide coordination support for special events

  • Responsible for maintaining communication with internal team members as they pertain to HR and company wide announcements

  • Assist in the procurement of funding through solicitation and grant writing

  • Oversee creation of internal processes such as sick procedures, time request forms, necessary training, and individual team member records. Documents are to be uploaded to a shareable drive for company-wide reference

  • Ensure the completion and upload of staff documents including TB screenings, fingerprinting, hiring documents, etc.

  • Maintain project management software (Monday, Salesforce, etc.)

  • Attend site visits to class occasionally 

  • Oversee purchase requests from team

  • Arrange travel and lodging for Academy staff

  • Administers and makes recommendations for all technology, including GoogleApps, calendars, database and cloud-based accounts

  • Implements and refines solutions for partially remote team

  • Provides training of technology platforms and systems

  • Ensures office bills and recurring expenses are current and evaluated for need

  • Assign professional development to teams overseen

  • Ensures invoices are sent to relevant parties as communicated by the Executive Director

  • Coordinates annual benefits renewals

  • Processes all benefits paperwork for staff

  • Supports with recruitment efforts and onboarding for new staff and interns

  • Oversee volunteer efforts

  • Other duties as assigned

MINIMUM QUALIFICATIONS

  • At least two years of applicable college coursework and/or administrative work experience

  • Excellent verbal and written communication

  • Strong attention to detail

  • Ability to work efficiently in loosely structured work environment

  • Ability to work both independently and cohesively in a team environment

  • Experience with project, schedule, and communications management

  • Proficiency with Microsoft and Google suites, and internet navigation and applications

  • Ability to ensure professionalism, integrity, consistency, and accuracy in information management and communications

  • Ability to multitask and prioritize appropriately

  • Valid California driver’s license

  • Strong personal ethics and alignment with Square Root Academy values

  • Understanding of nonprofit organizational structure

  • Background in business, marketing, or management preferred

  • Excellent research skills

  • Knowledge of wealth and education disparities in underserved communities

  • Able to strategize and lead new initiatives in a team environment
