Reporting to the Executive Director, the Executive Assistant,  will be responsible for providing administrative support to the Executive Director including scheduling appointments, responding to emails, taking calls, maintaining and managing travel arrangements. This will also include managing and coordinating the day-to-day operations of the Square Root Academy office, Lab 7 Coworking. You will oversee various administrative responsibilities and perform daily opening and closing operations. 

Compensation: $15.00-$16.50/Hour (DOE) 

Commitment: Part-Time


  • Manages and prepares all correspondence, agendas, minutes and reports. 

  • Manages executive calendars. 

  • Oversees and performs clerical duties such as answering the telephone, scheduling meetings/appointments, making travel arrangements and maintaining files. 

  • Screens communication (e.g., mail, phone calls) as directed by Executive Director 

  • Oversees special projects/events 

  • Create a positive and welcoming environment

  • Implement COVID-19 safety protocols recommended by county and state health

  • Make sure the kitchen is clean at all times and coffee/tea/water is always stocked

  • Make sure that all phone calls/emails are answered and returned promptly

  • Make recommendations on any repairs, maintenance, replacement, purchases or updates required in the space. Identifying and resolving issues presented, i.e. insufficient cleaning, repeating IT-related failures, malfunctioning conference room equipment etc.

  • Empty trash cans as needed

  • Restock: Toilet Paper, Paper Towels, Printer Paper, Printer Ink, Hand soap (as needed)

  • Brew Coffee

  • Play appropriate Lab 7 tunes throughout business hours

  • Ensure the space is well presented at all times

  • Performs other job-related duties as assigned


  • Excellent people skills

  • Background in customer experience, marketing and communications preferred

  • Some college experience

  • Positive attitude

  • Adaptability to changing environments

  • Exceptional written and oral communication skills

  • Excellent organizational skills

  • Knowledge of wealth and education disparities in underserved communities

  • Familiarity with Microsoft Word and Excel

  • Understanding of Nonprofit organizational structure

  • Valid California Driver's License
